Manage Content Help

 

Adding a Document

To add a document:

  1. Launch Manage Content.
  2. Browse Manage Content to the location where you want to add a document.
  3. To open the Add Document page, click Add Document ( Add Document ).
    Note: Adding documents to Manage Content is a two-step process. Clicking Add Document to open the Add Document page enables you to perform Step 1 - Select Document.
  4. In the Document file name box, type the directory and file name of the document you want to add.
    or
  5. To open the Choose file dialog box, click Browse to locate the file you want to add.
  6. To proceed to Step 2 - Document Properties, click Next.
  7. To specify document properties, perform any of the following optional steps:
    (Optional) In the Title box, type the title you want to associate with the specified document.
    (Optional) In the Subject box, type the subject or keyword(s) you want to associate with the specified document.
    (Optional) In the Author box, type the author you want to associate with the specified document.
    (Optional) In the Abstract box, type the abstract you want to associate with the specified document.
  8. To hide the document so that it does not appear in the table of contents, check the Document is hidden in the table of contents box.
  9. Click Finish.

Document Check-In

Note: Checking in a document may only be performed on documents that are checked out. If you want to add a document to Manage Content, go to Adding a Document to Manage Content.

Note: If a checked out file is unchanged, it is sufficient to perform an Undo Check Out operation as opposed to a Check In operation.

To check in a document:

  1. Launch Manage Content.
  2. Browse Manage Content to locate the checked out document.
  3. Note: When a document is checked out, the Check Out Document icon ( Check Out Document ) changes to Check In Document; additionally, text appears in the Status column indicating that the document is checked out.
  4. To open the Check-In Document page, click Check In Document.
  5. In the Document file name box, type the directory and file name of the file you want to check in.
    or
  6. To open the Choose file dialog box, click Browse to locate the file you want to check in.
  7. Click Check-In.

Note: If the checked in document is significantly altered from its previous state, you may want to update its properties.

Editing Document Properties

To edit document properties:

  1. Launch Manage Content.
  2. Browse Manage Content to locate the document that contains the properties you want to edit.
  3. To open the Properties page and edit properties in the specified document, click next to the specified document.
  4. To specify document properties, perform any of the following optional steps:
    (Optional) In the Title box, type the title you want to associate with the specified document.
    (Optional) In the Subject box, type the subject you want to associate with the specified document.
    (Optional) In the Author box, type the author you want to associate with the specified document.
    (Optional) In the Abstract box, type the abstract you want to associate with the specified document.
  5. To hide the document so that it does not appear in the table of contents, check the Document is hidden in the table of contents box.
  6. Click Save.
